Privacy Policy

Effective August 7, 2026. This policy explains what Akros Partners LLC, doing business as Akros Strategy, collects, how it is handled, and the confidentiality that applies to the bid and proposal materials you send us.

1. Who we are

Akros Strategy is a trading name of Akros Partners LLC, a Florida limited liability company. We provide independent proposal and bid review services to organizations competing for government contracts. In this policy, “we” and “us” mean Akros Partners LLC, and “you” means the client or prospective client using our services or website.

2. Information we collect

We collect only what is required to quote, deliver, and account for a review.

Information you give us directly

  • Contact details submitted through our contact form or by email — name, organization, email address, and any message you write.
  • Engagement details entered at checkout — solicitation number, due date, and page count.
  • Bid and proposal materials you send for review — draft proposals, bid forms, pricing schedules, past performance narratives, capability statements, subcontractor information, addenda, and any supporting documents you choose to include.

Information collected automatically

  • Standard server log data from our hosting provider, such as IP address, browser type, pages requested, and timestamps. This is used for security and to keep the site running.

3. Confidentiality of your bid materials

The documents you send us are the most sensitive thing we hold. We treat every proposal, bid package, price schedule, and supporting document you provide as confidential business information belonging to you.

Specifically:

  • Your materials are used for one purpose only — performing the review you engaged us for.
  • We do not disclose your materials, your pricing, or the fact of your participation in a solicitation to any other client, competitor, agency, or third party.
  • We do not disclose your identity as a client without your permission. We do not publish client names, logos, or testimonials unless you ask us to.
  • We do not use your materials as examples, samples, or training content.
  • Our sample report is constructed from fictional content. It contains no client material.

The sole exception is disclosure compelled by law, such as a valid subpoena or court order. Where we are permitted to notify you of such a demand, we will do so.

4. What we never do

  • We do not sell, rent, or trade your information to anyone.
  • We do not share your pricing or competitive approach with any other party.
  • We do not contact procuring agencies on your behalf or identify you to them.
  • We do not submit anything to an agency for you. Submission is always yours.
  • We do not send marketing email to addresses collected through a review engagement without your consent.

5. Conflicts between clients

Because our work is narrow and regional, more than one vendor may ask us to review a bid on the same solicitation. We take this seriously.

  • We check each incoming engagement against active work before accepting it.
  • Where we are already reviewing a submission for the same solicitation, we will decline the second engagement, or accept it only if every affected client gives informed written consent.
  • Reviewers are never given a competing bidder’s materials for comparison. Each review is performed against the solicitation, not against another vendor’s submission.
  • If a conflict comes to light after work begins, we will tell you promptly and stop work on the affected engagement.

6. Payments

Payments are processed by Stripe. Card details are entered on Stripe’s systems, not ours. We never receive, see, or store full card numbers. What we receive from Stripe is limited to what we need for accounting — your name, email, billing address, the amount, and the last four digits of the card. Stripe processes this information under its own privacy policy.

Retainer subscriptions are billed monthly through Stripe. You can manage or cancel a subscription through the customer portal link on our pricing page.

7. Website, hosting, and forms

Our website is hosted on Netlify, and contact form submissions are delivered through Netlify’s form handling. Those submissions are stored with Netlify and forwarded to us. We do not run advertising trackers, third-party analytics scripts, or social media pixels on this site.

8. The client portal

The client portal is protected by an access code issued to clients. The code is issued to you at booking. Any person holding the code can view the portal. You are responsible for keeping it confidential and for notifying us if you believe it has been disclosed beyond your organization. A replacement code will be issued on request.

9. Open solicitations board

The solicitations board on this site lists public bid notices drawn from government procurement portals and published federal data. It contains public information only. Nothing about our clients, their interest in a solicitation, or their submissions ever appears there.

10. How long we keep materials

  • Bid and proposal materials: retained for 12 months after the engagement closes, so we can answer follow-up questions and support you on the next cycle, then deleted. You may ask us to delete them sooner and we will, subject to any records we are required to keep.
  • Deliverables and review reports: retained for 12 months and available to you on request during that period.
  • Billing and tax records: retained as long as required by law.
  • Contact form submissions: retained while we are in correspondence and for a reasonable period afterward.

11. Your choices

You may ask us at any time to provide a copy of the information we hold about you, correct it, or delete it. Requests are made through the contact form and will be answered within 30 days. A deletion request covering an active engagement terminates that engagement, as we cannot review documents we no longer hold, and section 7 of our Terms of Service applies to the fee.

Our services are directed to businesses, not to individuals under 18, and we do not knowingly collect information from minors.

12. Security

Access to client materials is limited to those performing the review. We use established providers for hosting and payment processing and delete materials on the schedule set out above. No method of transmission or storage is entirely secure, and absolute security cannot be guaranteed. Materials requiring handling beyond ordinary commercial practice — controlled unclassified information, for example — must be identified to us before transmission so that terms can be agreed or the engagement declined.

13. Changes and contact

We may amend this policy at any time. The revised version will be posted on this page with a new effective date. Material changes affecting active engagements will be notified to the clients concerned.
